Success story
The Brief
BCD Meetings & Events was asked to manage a product launch event for a new Life Sciences client. Unexpectedly, the COVID-19 pandemic hit and the event could no longer take place in-person. The client decided to move forward with transitioning the live experience to a virtual one. BCD M&E had only 3 weeks to plan the event and bring it to life in a virtual environment.
The Solution
This was the client’s first virtual product launch, therefore they wanted to create a memorable experience for attendees. BCD M&E suggested a 3D virtual venue experience. This allowed participants to have one-on-one interaction with areas for both private and public conversations. It also included a virtual trade show with stands for Sales Representatives to present successful case studies on the product. For those unable to join the virtual venue, a live broadcast was streamed.
As this was the first time for the speakers to present during a virtual event, the BCD M&E team provided coaching on how to successfully present in a virtual setting.
The Results
Participants enjoyed the opportunity to still have one-on-one interaction within a virtual event. The virtual venue allowed attendees to have real-time interaction during a period when quarantine lockdown was in place. Many attendees who originally joined via the broadcast switched to the virtual venue connection once they saw the interactive experience it provided. The Q&A and speaker sessions were also such a success that the client plans to consider this model again moving forward.
Avatars
54 of the 83 people in attendance accessed the virtual venue for this product launch event. Using a personalized avatar, they could chat and interact with fellow participants as well as gather for presentations by three speakers and seven sales representatives.
Environment
Members of the BCD M&E team were also in the virtual environment providing “on-site” support. They were available to help participants with any questions during the event and to assist in directing attendees on where to go and how to perform actions.
