Making Smarter Sustainability Choices at Your Next Event
Sustainability is a key ingredient in the execution of our events. We took some time with Astrid Pfüller, Sustainability Lead for EMEA, to discover the recipe for success in delivering an event with sustainability credentials.
How does sustainability inform the planning for an event and how does it influence decision-making?
It is essential to understand the touchpoints in event planning where choices directly shape environmental impact, because these are the moments where we can opt for more sustainable solutions without compromising quality. At BCD M&E, we follow a six-step approach that ensures sustainability is considered at the right time and place. By identifying these decision points early, we can prioritise actions that deliver measurable results, both for the environment and for the success of the event.
What would be your first steps towards sustainability when delivering a medical education event?
Step one is always to look at attendee travel, because it is often the largest contributor to emissions. We pre‑calculate the carbon footprint for potential destinations based on where participants are coming from, this sometimes guides us toward a location with less travel impact.
If the destination is already set, for example when attending a congress, we move straight to step two: evaluating venues and assessing their sustainability performance. From there, we look at the overall event design — implementing measures such as local and seasonal menus with vegetarian options, plated service instead of buffets to reduce food waste, and selecting suppliers based on strong sustainability credentials. These actions create an event experience with a lower environmental footprint while supporting local communities.
Communication is vital in sustainability. Can you share how you use it during events?
Absolutely. Attendee and supplier engagement is key. We explain the goals behind the measures we implement so everyone understands how they are contributing. For instance, sharing that “beef-free networking lunches help us reduce the event’s emissions by XX%” makes the benefits tangible, and drives awareness and participation.
Does a sustainable approach impact the quality of the event itself?
Not at all. Our analysis during the planning phase empowers decision‑makers to minimise environmental impact while optimising the overall experience.
What happens after the event?
We prepare a full impact report, including a detailed carbon footprint analysis and tailored recommendations for reducing emissions in future editions. We also highlight any cost savings achieved through sustainable initiatives and, where desired, connect clients with our trusted carbon offsetting partners.
Our aim is to ensure each event not only delivers immediate results but also builds lasting awareness and capability for future sustainability success.
Stepping Up with Sustainability – ISO 20121
In 2025, all BCD M&E–owned operations across the European Union and the United Kingdom successfully renewed or achieved ISO 20121 certification. This certification of our Event Sustainability Management System reflects a systematic and continuous approach to managing material environmental and social impacts associated with event planning and delivery.
