The Brief
A large South African Pharmaceutical Company required us to arrange a Sales Conference for 3 days including all transportation, conference, dinners, team building and a Gala Dinner with awards and entertainment.
The client wanted to the conference focus on team building, which included recording a television advert of their products, as well as the gala event, which needed to include a motivational guest speaker.
The Solution
Our solution delivered on-site to our client included:
- Group fares were secured on various local airlines in line with the companies Health and Safety requirements.
- All transportation was arranged for the groups to and from the venue.
- Meet and Greet staff to ensure all delegates were transferred to coaches on arrival and departure.
- Accommodation at 5* Property in the winelands with adjoining conference center
- Manage all aspects of the conference requirements and set up with 4 breakaway rooms
- Full AV, lighting and staging for the gala event
- Guest speaker, Thuli Madonsela, delivered a 60-minute presentation
- Ensure all contracting in place and facilitate all payments.
- Manage all catering requirements with venue including for crew during the event.
- Manage luggage moved to rooms, airports etc. efficiently.

The Results
We saved the company over R85 000 by using local suppliers for the event – R65 000 in air savings and R20 000 in accommodation savings achieved through our supplier negotiation process. The post-trip survey provided positive feedback and the client was happy with the outcome of the event.
